Quick Summary
You can see the estimated value of every daywork sheet in the Est. Value column. Two settings control whether your Client Reps see these values too:
- Can View Sheet Values: set for each Client Rep in your Directory
- Sheet Value Visibility: set for each job. Follow each Client Rep's own setting, or override it to always show or never show values on that job.
When values are shared, your client sees each sheet's estimated value in their Client Inbox, both while they review and sign it and afterwards.
📱 Mobile Note: These settings are only available in the Web App.
What You'll Learn
- Where you can see each sheet's estimated value
- How to show or hide sheet values for a Client Rep
- How to set sheet value visibility for a job
- What your client sees when values are shared or not shared
Before You Start
You'll Need:
- Rates set up for your Labour, Plant & Equipment, Materials and Rate Items in your Directory, or as Job-Specific Rates
- At least one client with Client Reps in your Directory
Step-by-Step Instructions
Step 1: See Estimated Values in Your Sheets
The Est. Value column shows the estimated total of each daywork sheet. You'll see it on:
- Job Details: the sheet list on each job's page
- Sheets: the main Sheets screen
It shows for sheets in every status, including Draft, Sent, Approved and Rejected.
Step 2: Show or Hide Sheet Values for a Client Rep
Each Client Rep has their own setting. This is the setting jobs follow by default.
- Select Directory from the top menu
- Select the Clients tab
- Click the arrow next to the client to expand it and see its Client Reps
- Click the ⋯ (more options) menu next to the Client Rep and select Edit
- In Update Client Rep Details, turn the Can View Sheet Values toggle on to show values, or off to hide them
- Click Update Client Rep to save
Step 3: Set Sheet Value Visibility for a Job
- Open the job
- Click Sheet Value Visibility, next to Set Job-Specific Rates
- Choose an option:
- Follow Client Setting: each Client Rep sees sheet values only if their own Can View Sheet Values setting allows it
- Always Show: every Client Rep on this job sees sheet values, even if their own setting is off
- Never Show: no Client Rep sees sheet values for this job, even if their own setting is on
- Click Save
🎯 Key Point: The job setting takes priority. Always Show and Never Show apply to everyone on the job, whatever each Client Rep's own setting is.
What Your Client Sees
- Values shared: the Est. Value column in the Client Inbox shows each sheet's estimated value, matching the value you see
- Values not shared: the column shows Not shared in grey italic, with a tooltip explaining that the subcontractor hasn't shared their schedule of rates
💡 Pro Tip: Use Always Show for jobs where your client needs to track costs as work progresses, and Never Show for jobs where values should only appear on your billing report.
