### **Quick Summary**

Billing reports are now more flexible. You can:

- **Add or remove sheets** on a billing report after it's been generated, keeping the same report number
- **Attach supporting files**, such as photos of receipts, in a new **Attachments** section
- **Add percentage adjustments**, such as a markup on materials
- **Bill a single sheet** in a simpler one-page format

### **What You'll Learn**

- How to add or remove sheets on an existing billing report
- How revisions are shown to your client
- How to add attachments to a billing report
- How to add a percentage adjustment
- How single-sheet billing reports look

### **Before You Start**

**You'll Need**:

- A job with daywork sheets ready to bill
- A billing report, either a draft or one that's already been generated, or a new one you're creating

🎯 **Key Point:** Every Client Rep is set to **Hidden** by default, including new Client Reps you add. Change a Client Rep to **Shown** only if you want them to see sheet values.

### **New Refinements**

#### **Refinement 1: Add or Remove Sheets on a Billing Report**

Use this when more work is completed after you've invoiced, or a sheet needs to come off a report. You don't need to create a new report.

1. Open the job and select the **Billing Reports** tab
2. Click the **⋯** menu next to the report and select \[Needs confirmation: menu option name, e.g. Edit\]
3. Click **Add / Remove Sheets**, next to **Review Sheets**
4. Tick the sheets you want to add, or untick the sheets you want to remove, and confirm
5. Review the updated totals and click **Update Billing Report**

Totals, the included sheets, the preview and the PDF all update to match your new list of sheets.

**Which sheets can be added:** only sheets that can be billed. You can't add sheets that are **Draft**, **Cancelled**, **Archived** or already billed in another billing report.

**What happens to your sheets:**

- **Added sheets** are marked as **Billed** when you update the report
- **Removed sheets** go back to the status they had before being billed, such as **Approved** or **Sent**. The sheet's activity log shows the change.
- **No emails** are sent to your client when a sheet is removed from a report

**How revisions are shown:**

- **Report number:** stays the same after every revision
- **Revision No. and Revision Date:** shown on the PDF cover page, in the **Billing Reports** table, in the PDF viewer title and on the edit page

🎯 **Key Point:** A generated billing report can't be saved back as a draft. That's why the button reads **Update Billing Report**.

💡 **Pro Tip:** Older versions of the PDF aren't kept. Each revision replaces the previous PDF, so download a copy first if you want to keep the original.

💡 **Pro Tip:** Removed a sheet by mistake? Add it back before saving. Any rates, No Charge / Omitted settings and notes you set for that sheet are restored.

💡 **Pro Tip:** When you revise a report, any rate you haven't changed manually uses your current rate card. If your rates have changed since the report was first generated, check the totals before saving.

#### **Refinement 2: Add Attachments**

Attach files your client needs to approve the invoice that aren't on a daywork sheet, such as photos of material receipts. These are added alongside the photos already on each daywork sheet.

1. On the billing report, scroll down to **Attachments (Optional)**, below the totals
2. Drag and drop your files into the upload area, or click **Click to upload** to select them from your computer
3. Add up to 8 attachments
4. If you've added the wrong file, remove it and upload the correct one before you finalise the report

Your attachments appear in the **Attachments** section of the PDF, after all the sheet appendices.

#### **Refinement 3: Add a Percentage Adjustment**

Adjustments are items not captured on daywork sheets that you want to bill for. Use the **%** unit to add a percentage, such as a markup on materials.

1. On the billing report, scroll to **Adjustments** and click **+ Add Adjustment**
2. In **Name**, describe the adjustment, for example "Mark up on materials"
3. Set the **Unit** to **%**
4. In **Qty**, enter the percentage, for example 15 for 15%
5. In **Rate**, enter the amount you're applying the percentage to, for example your Materials total from the **Cost Summary**
6. Check the **Amount**. For example, 15% of $10,000 = $1,500.

The adjustment is added to the **Adjustments** line in the **Cost Summary** and the **Grand Total**.

💡 **Pro Tip:** If the total you're marking up changes later, remember to update your adjustment's rate too.

#### **Refinement 4: Bill a Single Sheet**

When a billing report includes only one daywork sheet, it automatically uses a simpler one-page format. The sheet's full cost breakdown is shown directly, without the summary page used for multi-sheet reports. No cost detail is lost.

### **Troubleshooting**

**Problem:** I can't remove a sheet from the report
**Cause:** The sheet is archived. Archived sheets can't be removed while they're archived.
**Solution:** Restore the sheet from the **Archived** view first, then remove it from the report as normal. Hover over the locked tick box to see why it can't be changed.

**Problem:** Some sheets are flagged in red, with a count on the button
**Cause:** These sheets can no longer be billed, for example because they've been archived or billed in another report since you added them
**Solution:** Click the message to open **Add / Remove Sheets** and remove the flagged sheets before saving.

**Problem:** My save was stopped and I was asked to reload
**Cause:** Someone else updated the same report while you were editing it
**Solution:** Reload the report, then make your changes again. This stops either person's changes being lost.
